TurboOffice, Inc. (“TurboOffice,” “we,” “us,” or “our”) provides a real estate transaction management platform (the “Service”). This Privacy Policy explains what information we collect, how we use it, and the choices you have. By using the Service you agree to this Policy.
1. Information We Collect
Information you give us
- Account information — name, email, phone number, password, brokerage or team affiliation, license details, and billing information.
- Customer Content — listings, offers, transactions, documents, contacts (including your clients’ information), messages, and other content you upload or create in the Service.
- Communications — emails, chats, and support requests you send to us.
Information collected automatically
- Device and usage — IP address, browser type, operating system, referring pages, pages viewed, features used, and timestamps.
- Cookies and similar technologies — used for authentication, security, preferences, and analytics. See “Cookies” below.
Information from third parties
- Integrations you connect — for example, Gmail (for inbox sync), payment processors, e-signature providers, and MLS feeds. We only access the data needed to provide the integration you enabled.
- Service providers — analytics, error monitoring, fraud prevention, and customer support tools.
2. How We Use Information
We use the information we collect to:
- Provide, operate, secure, and improve the Service;
- Authenticate users and prevent fraud or abuse;
- Process payments and manage subscriptions;
- Generate and send transaction documents, signatures, and email notifications you authorize;
- Provide customer support and respond to inquiries;
- Analyze usage and develop new features;
- Send service announcements, marketing communications (subject to your preferences), and legally required notices; and
- Comply with legal obligations and enforce our agreements.
3. How We Share Information
We share information only as described below:
- Within your team or brokerage. Customer Content you create in a shared workspace (e.g., a property, deal, or group) is accessible to authorized members of that workspace.
- With counterparties you initiate. When you send a document, offer, or signature request to a client or other party, the relevant information is shared with that recipient.
- With service providers. Vendors who help us run the Service (hosting, email delivery, analytics, payment processing, e-signature, error monitoring) process information on our behalf under written agreements.
- For legal reasons. We may disclose information if required by law, subpoena, or court order, or to protect the rights, property, or safety of TurboOffice, our users, or others.
- Business transfers. If we are involved in a merger, acquisition, financing, or sale of assets, information may be transferred as part of that transaction subject to this Policy.
We do not sell your personal information, and we do not share Customer Content with third parties for their independent marketing purposes.
4. AI and Automated Features
Some features of the Service use machine learning or large-language models to assist with tasks such as document drafting, summarization, and offer review. Inputs and outputs from these features are processed by our model providers under contracts that prohibit them from using your data to train their public models. We may use de-identified or aggregated data to evaluate and improve our own models.
5. Data Retention
We retain account and Customer Content for as long as your account is active and for a reasonable period thereafter to comply with our legal obligations, resolve disputes, and enforce our agreements. You can request deletion of your account by contacting us; some records (e.g., transaction history required for tax or compliance purposes) may be retained as required by law.
6. Security
We use technical and organizational measures designed to protect information, including encryption in transit, access controls, and monitoring. No method of transmission or storage is 100% secure, but we work to maintain industry-standard protections.
7. Your Rights and Choices
- Access, correction, deletion. You can update most account information directly in the Service. For requests we cannot fulfill in-app, email support@turbooffice.ai.
- Marketing emails. You can unsubscribe from marketing emails using the link in any such message. You will continue to receive transactional and service messages.
- Cookies. Most browsers let you block or delete cookies; doing so may impair some features of the Service.
- Regional rights. Depending on where you live (e.g., California, EU/UK), you may have additional rights to access, port, correct, delete, or restrict processing of your personal information. To exercise these rights, contact us at support@turbooffice.ai.
8. Cookies
We use cookies and similar technologies for authentication (keeping you signed in), security (such as fraud prevention), preferences (remembering settings), and analytics (understanding how the Service is used so we can improve it). We do not use cookies for cross-site advertising.
9. Children
The Service is not directed to children under 16 and we do not knowingly collect personal information from them. If you believe a child has provided us personal information, contact us and we will delete it.
10. International Users
TurboOffice is operated from the United States. By using the Service, you understand that your information will be processed in the U.S. and other countries where we and our service providers operate, which may have different data protection laws than your jurisdiction.
11. Changes
We may update this Policy from time to time. If we make material changes, we will provide notice (for example, by email or via the Service). The “Effective” date above tells you when the Policy was last revised.
